These tools answer different questions
People often ask whether product search has replaced spreadsheets. That frames the choice too broadly. A spreadsheet can reveal vocabulary and categories you did not know. Search is faster when you already know the product and missing detail. A personal shortlist is better for recording why a candidate survived.

When a spreadsheet is genuinely useful
A sheet works well at the beginning of an unfamiliar category. It can show common item names, recurring source platforms and the fields other curators record. Scrolling becomes research when you are collecting vocabulary or learning what comparisons matter.
- You do not yet know the category language.
- You want a broad set of examples before defining filters.
- You need to compare how different curators describe similar products.
- You are looking for gaps to turn into better search terms.
Stop using the sheet as soon as it stops adding new information. Repeated rows, vague labels and familiar thumbnails may feel productive while leaving the decision unchanged.
When a category directory is better
Choose a directory once the item type is fixed but the preferred candidate is not. A shoes directory keeps footwear together; a bags directory avoids comparing dimensions and hardware against unrelated clothing fields. This reduces the mental cost of changing standards on every row.
The directory does not evaluate products for you. Before saving a result, decide what the category requires: insole length and outsole views for shoes, garment measurements for clothing, interior dimensions and strap joins for bags, or case size and clasp details for watches.
When a focused product search wins
Search becomes efficient when the query contains a noun, a useful attribute and—when needed—an evidence term. “Hoodie” is discovery. “Heavyweight zip hoodie size chart” expresses a comparison need. “Bag” is broad; “crossbody bag interior dimensions” asks for specific evidence.
Product noun
Name the category or item: sneakers, jacket, tote, watch or belt.
Decision attribute
Add material, fit, closure, dimensions, weight range or intended use.
Evidence term
Add size chart, measurements, QC photos, outsole, lining or interior view.
Brand labels and phrases such as “best batch” or “must buy” may narrow the language but rarely define the evidence. Search for the reason you would reject a candidate, not only the label you hope to see.
A practical 15-minute hybrid workflow
- Minutes 0–3: define the decision. Write the category, one required feature and one deal-breaker.
- Minutes 3–6: scan one broad surface. Use a spreadsheet or category directory to learn the available language. Do not save yet.
- Minutes 6–10: run two focused searches. Keep the noun stable and change the attribute or evidence term.
- Minutes 10–13: compare no more than three candidates. Use the same fields and units for each.
- Minutes 13–15: write the verdict. Save, research later, or remove. Record one reason and one unresolved unknown.
Time limits improve the method. If 15 minutes produces no clearer candidate, the next step is usually a better question—not another hour of opening similar tabs.
How the tool changes by category
From inspiration to size evidence
Start with a shoes directory to compare shapes. Search the preferred style plus “insole measurement” and “outsole photo.” Keep only candidates that use a measurement standard you can compare.
From style to usable capacity
Use a sheet to learn bag types, then search the chosen type with “interior dimensions,” “strap length” and “base view.” The final shortlist should record dimensions, not only the visual label.
From a broad row to fit
Use the row to identify a style, then search with garment width, length or fabric-weight language. Compare actual measurements rather than relying on “true to size.”
Changing tools without changing the question
Opening a sheet, directory and search engine with the same vague phrase produces more versions of the same uncertainty. Add a requirement before switching surfaces.
A cleaner mobile workflow
Large sheets are difficult to inspect on a phone because column context disappears while scrolling. On a small screen, use the sheet only to identify a category or phrase. Move to a category directory for browsing, then record the final three candidates in a short note with the same fields.
Avoid keeping the browser as your memory. Tabs do not show why a candidate mattered, and reopened pages may change. A one-sentence note is more useful than twenty unexplained tabs.
What belongs in the final shortlist
The shortlist is not a collection of everything you liked. It is the small set that survived the same comparison standard. Record the check date, live URL, category, critical measurement, useful evidence, price context, likely weight concern and remaining unknown.
Three candidates are usually enough to expose tradeoffs. If candidate four adds no new advantage, the research stage is probably complete. Continue only when the new option improves evidence, fit, source clarity or total-cost context.
